Terms of Service

These terms govern your use of VenueCOI. By creating an account or using the service, you agree to them.

The service

VenueCOI collects certificates of insurance from your vendors, reads them with AI, checks them against the requirements you configure, and sends reminders. You are responsible for setting correct requirements and for your final decision to approve, reject or waive any vendor.

Not insurance advice

A certificate of insurance is informational only and does not amend or extend coverage. VenueCOI does not verify policies with carriers, is not an insurance provider or broker, and does not provide insurance or legal advice. Automated checks may contain errors; always review important certificates yourself.

Your responsibilities

• Provide accurate venue and requirement information.
• Only upload documents you are authorized to share.
• Keep your account credentials secure.

Plans & billing

We offer Starter, Pro and Premium plans, billed monthly or annually through Polar, our merchant of record, on a recurring basis until cancelled. Every account's first event is free with no card required.

• Founding pricing: the first 25 paying venues on Pro or Premium receive a founding discount that stays locked for the life of the subscription, as long as it remains active. If you cancel and resubscribe later, standard pricing applies.
• Annual plans include two months free versus monthly.
• 30-day money-back guarantee on paid plans.
• Cancellation: cancel anytime. Your account becomes read-only — you keep access to your events, files and exports, but can't create new events or send requests. Your vendors' existing upload links keep working. Data is retained for 90 days after cancellation unless you request deletion.

Availability & liability

The service is provided “as is” without warranties. To the maximum extent permitted by law, VenueCOI is not liable for indirect or consequential damages, or for any uninsured loss arising from a vendor's coverage. Our total liability is limited to the fees you paid in the prior 12 months.

Termination

You may close your account at any time. We may suspend accounts that violate these terms.
